Fifteen tasks, sorted by how often to do them, that keep your books clean all year and make tax season a non-event.
Most bookkeeping stress does not come from taxes. It comes from pileup: a few weeks of uncategorized transactions, invoices that went out late, receipts in a shoebox. A short, steady routine prevents all of it. Here is the exact checklist we recommend to every small business owner.
1. Record and categorize every transaction. Do not let a week of sales, purchases, and expenses stack up. Categorize each transaction in your accounting software while it is fresh and you still remember what it was.
2. Send invoices promptly. Invoice clients the moment work is done, or on your set billing day. Late invoices are the number one cause of cash-flow problems for small businesses.
3. File and photograph receipts. Snap a photo of every paper receipt and save it to a dedicated folder. No shoeboxes, no faded thermal paper surprises in January.
4. Glance at your cash position. Check your bank balances and upcoming bills. Know what is coming in and going out before it surprises you.
5. Reconcile all bank and credit card accounts. Match every transaction in your books to your statements. Unreconciled accounts hide errors, duplicates, and the occasional charge that was never yours.
6. Follow up on overdue invoices. Review accounts receivable and politely chase anything past due. A simple reminder email recovers most late payments.
7. Schedule bill payments. Review accounts payable, confirm what is owed, and schedule payments to avoid late fees and keep vendors happy.
8. Run payroll and pay contractors. Pay your team accurately and on time, and set aside the payroll taxes owed. Keep contractor records current so 1099 season stays simple.
9. Review your profit and loss and balance sheet. Look at the month in plain English: revenue, expenses, profit, and what changed compared with last month.
10. Set aside money for taxes. Move a percentage of profit into a separate tax savings account every month, so quarterly estimates never hurt.
11. Compare actuals to your goals. Stack this quarter's revenue and profit against your targets. Adjust pricing, spending, or effort while there is still time to act.
12. Pay estimated taxes. If you owe quarterly estimates, pay them on time to avoid IRS penalties.
13. Audit subscriptions and recurring costs. Cancel what you do not use and renegotiate what you do. Small leaks sink small businesses.
14. Close every account cleanly. Final reconciliation of every bank and credit card account, 1099s issued to contractors by January 31, and the year's records archived.
15. Review the year and plan the next one. Meet with your CPA, set next year's financial goals, and walk into tax season with books your CPA will thank you for.
